Minutes of the Regular Meeting of the Burlington Library Association
February 9, 2022

1. The meeting was called to order at 1:31 p.m. by Kristen Williams. Present were members Sandy Mazeau, Len Berton, and Kristen Williams; plus, Assistant Library Director, Jodi Papazian

2. Correspondence
2a. Main Street Community Fund provided an update to the Friends' account. There is currently $26,085.90 in the fund and it earned 13.5% in 2021. In addition, the Friends received their annual disbursement check of $950.

3. Acceptance of Minutes
3a. There was not a quorum. January minutes will be sent via email for review and approval.

4. Treasurer's Report
4a. Sandy Mazeau shared that the current balance of the checking account is $12,998.06 with total assets at approximately $70,000. The Designated Fund balance is $8,067.61 and is available for the library to spend. We've received an income of $791.43 from 5 donors so far, not including the $420 in memorial donations for Nancy Jewett. Since there was no quorum, there was no vote to approve.

5. Library Board of Directors Report
5a. Sandy Mazeau shared that the library budget was in review by the town. The request for funding to support programs had been reduced from $6,000 to $3,000.

6. Library Director's Report
6a. Jodi Papazian let the Board know that programs for the library would continue to be virtual in February due to the Omicron virus; but, they hope to bring back in-person programs in March. Summer planning is underway.

7. Fundraising
7a. Spring Booksale Kristen Williams shared that the book sale planning for April 1-3 is underway. The team will be reaching out to Len to schedule the volunteer sign up sheet and email. Kristen will be posting on Facebook and schedule an ad on Facebook.
7b. Annual Campaign Timing: No update. The plan is to send in April as previously discussed.
7c. Spring Art Show Jodi shared an idea they are considering for the Spring Fling event. Patrons could order a T-shirt and then we would have it made.

Minutes of the Regular Meeting of the Burlington Library Association
January 12, 2022

1. The meeting was called to order at 1:31 p.m. by Kristen Williams. Present were members Sandy Mazeau, Sandy Hierl, Len Berton, Georgia Riberdy, Bill Butler, and Kristen Williams; plus, Assistant Library Director, Jodi Papazian

2. Correspondence
2a. None

3. Acceptance of Minutes
3a. None to review. We are up to date on previous meeting minutes.

4. Treasurer's Report
4a. Sandy Mazeau presented the proposed budget for 2022. Discussion included:
- There are currently more than $62,000 in total assets, including: approximately $20K in CDs, $9K in money market account, and $11K in checking. In addition, there is about $20K in the Main Street account that we cannot touch.
- Increasing program expenses has been proposed in the past. At this time, the board decided to wait until July to see if the town will approve $6K in their budget.
- The sound system was approved at a previous meeting. The annual campaign scheduled for April will request designiated funds to support with any overages going towards the greatest need.
- IRS Tax Return and sales tax reports have been filed.
4b. Bill Butler made a motion to accept the Treasurer's Report. Nancy Monahan seconded. The Treasurer's Report and the Annual Budget was unanimously approved.

5. Library Board of Directors Report
5a. Sandy Hierl provided an update on the town library budget. The budget has been submitted, hearings are in May and the vote is expected in June.

6. Library Director's Report
6a. Jodi Papazian let the Board know that sound system is on order.
6b. Jodi had noted that patrons Sallye Brian and Debbie Fields had made multiple donations throughout the year in 2021 that in total would exceed the threshold for being a Life Member. She requested that the Board make them Life Members. The Board agreed. Sandy Mazeau volunteered to get the placards made and Kristen will note it in the membership database.
6c. Programs for the month of January have gone virtual given the surge in the Omicron virus. They will evaluate for February.

7. Fundraising
7a. Winter Volunteer - Kristen Williams discussed the original plan to host a volunteer event in January or February; however, given the surge of the Omicron virus everyone agreed it was better to wait. The Board will revisit this in the Spring.
7b. Spring Booksale Kristen shared that the book selling team had decided to have a book sale the first weekend in April. They requested three new tables and a bulletin board from the Board to help their efforts. Kristen had agreed and will deliver the supplies this week.
7c. Annual Campaign Timing: The Board discussed when the Annual Campaign should be mailed to members. The past two years have delivered later in the year; but, the Board agreed that it would be better to return to the April timing. This would help get the additional dollars needed for the sound system as well as generate revenue earlier in the year. Jodi shared that it is, "Love your Library" month so that seemed like an additional benefit to move the timing.
7d. Spring Art Show The next fundraising event Jodi and Kristen have scheduled is the Spring Art Show in May. More details to come at a later meeting.
73. Friends Concession Opportunity? Jodi shared that the concession stand at the baseball field across the street may be an opportunity for the Friends to have a concessions table (e.g. donuts) during Little League games.
7g. Library Newsletter Opportunities: Jodi has offered the Friends space in the monthly newsletter to help spur volunteering needs (e.g. the book sale) or openings on the board. The Friends just need to send her a blurb.

8. New Business
8a. Kristen Williams shared that due to family illness and commitments she needs to step down as President and from the Board this year. Her term is up for renewal at the next Annual Meeting and she will continue until that time. By announcing early, hopefully the Board and the Library can work together to recruit new Board Members as well as a new President.
